How to Organize An Efficient Office

In a world of 'the paperless office', files and folders should be obsolete. Every business needs to learn "how-to" manage records and organize documents. Small business owners are too afraid to throw anything away. Consequently, this leads to an overload of file folders, storage boxes, and ultimately a paper avalanche.

Trying to organize a mass of paperwork can seem like an impossible task. Many people don't know what to throw out and what to keep so all papers get shoved into boxes and drawers. Finding anything becomes impossible. The management of all companies needs to come up with ways to organize and file important paperwork.

"Most small businesses don't deal with their papers until it's too late," said Barbara Hemphill a well-known author on the subject of office efficiency. Paperwork piles up and documents are impossible to locate. If management and owners learned more about time management, paperwork would be in its place.

Beginning to Organize

You are going to need an entire day (if not more) to organize the office. You do not want to find yourself interrupted and distracted by customers, so choose a day when you are not normally open to tackle this mammoth project. Make sure all office staff get in on the fun because it is certain that they helped to create the mess.

Organizing your office space and paperwork is more difficult if you work alone, but not impossible. Even entrepreneur diehards can squeeze in a day for cleanup.

The paperwork atop your desk needs to be first priority. Organize by subject and then date. After sorting is out of the way, it is time to put everything in its proper place. If file folders do not exist for some of the paperwork, then create some so there is a place for them.

You should also have a separate system for your accounting and bookkeeping. Expense reports and receipts should be carefully filed for later reference. A good idea is to record your business transactions into a ledger. You can either use a ledger book or one of the many software programs available.

Upon organizing the paperwork into folders, you are going to require some boxes or perhaps some crates to store all the documents in for safekeeping. The particular way in which you file things will naturally be determined by the nature of your business. But, irrespective of the type of business you operate, all companies should file accounts payable and accounts receivable at the same time. The critical thins is that you have some kind of system for your filing.

Computer Documents

You need a contingency plan for all your paperwork and electronic files. If there was ever a flood or fire and your documents were destroyed you need to have a backup plan. For your important paperwork consider getting a scanner and filing backups electronically.

It is simple to file and access information stored on a CD, floppy, or even an external hard drive for the true techies. Whatever you choose to utilize, make sure to keep the storage devices in a fireproof safe or even off site if that is a viable option.

Online automated backup services are also available. For a small fee, you can backup computer documents to an offsite system. This is excellent for financial records. No financial business should be without a backup system.

RECIPE

Fresh Broccoli Salad

Ingredients:

1 pound fresh broccoli -- cut into florets
1/2 small red onion -- chopped
1 cup shredded Mozzarella cheese
8 slices bacon -- cooked and crumbled
1/2 cup mayonnaise or salad dressing
1 tablespoon white wine vinegar

Method:

Place broccoli, onion, cheese, and bacon in a salad bowl; set aside. In a small bowl, combine mayonnaise or salad dressing and vinegar; mix until mixture is smooth. Just before serving, pour dressing over salad and toss.

INGREDIENT SUBSTITUTIONS

Molasses

1 cup honey can be substituted for 1 cup molasses. (and vice versa) Note: flavor will be affected.

Mustard, Dry

1 tablespoon prepared mustard can be substituted for 1 teaspoon dry mustard.

Mustard, Prepared

1/2 teaspoon dry mustard plus 2 teaspoons vinegar can be substituted for 1 tablespoon prepared mustard.

FALL CRAFTS

Scarecrow Wall Decoration

Supplies:

Two straw hats - 16 inch and 12 inch
Raffia
Felt
Pipe cleaner
Ribbon
Tacky craft glue or hot glue

Directions:

1.Cut the 12" hat in half.

2.You need a small pkg. of colored raffia (if available). Spread out and place on the crown of the 16" hat. This is representing the hair on his/her head.

3.Glue raffia in place with thick designer tacky or hot glue whichever is available to you.

4.Now place glue on the cut edge of the 12" hat and place atop hair and against brim of 16" hat.

5.Cut triangles out of felt for eyes and nose. Place on crown forming face.

6.Use a black pipe cleaner for his mouth. Bend pipe cleaner so it looks like this - /\/\/\/\/\. Glue to crown.

7.Make a bow for neck area (under crown) and glue in place.

8. Put fall leaves on top of his hat to also give some color.
